Acting under the direction and supervision of the Associate General Counsel and Assistant Vice President of Government Relations and Association General counsel, provides comprehensive Legal Assistant support of the contracting, transactional, compliance, risk management, legislative tracking, litigation and overall general counsel and government relations functions and responsibilities of the Associated General Counsel and Assistant Vice President of Government Relations and Associate General Counsel as well as in support of the more general legal needs of the WVUHS Legal Department.

MINIMUM QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. High School diploma or Equivalent

2. 2 Years of experience in legal or related field.

PREFERRED QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Associate’s degree in business/office management, secretarial sciences, or related legal field EXPERIENCE:

2. Experience with database and document management systems

3. Experience related to general transactional and contract legal processes

4. Advanced experience in Microsoft Office and Adobe

CORE DUTIES AND RESPONSIBILITIES: The statements described here are intended to describe the general nature of work being performed by people assigned to this position. 1. Provide a wide range of support to WVUHS’s general counsel and government relations team, including contract and transaction support.

2. Key point of contact, responsible for calendar management and travel (when necessary) for associate and assistant general and AVP of government relations.

3. Communicate timely and professionally with internal WVUHS departments regarding legal matters.

4. Prepares documents for signature and coordinates execution and mailing of legal documents.

5. Monitor and maintain management information for the WVUH Legal Services Department.

6. Maintain appropriate departmental filing system and departmental files ensuring ease of access in timely manner to accurate information.

7. Complete various projects related to the organization of documents, filing systems, and management of on-site and off-site contracts.

8. Track legislation and associated meetings, both state and federal.

9. Lead area by creating and organizing information and generate reference tools for easy use by the office.

10. Monitor governmental websites for excluded parties on governmental and OIG websites, perform sanction checks on outside vendors as necessary, and ensure all vendors are registered to perform business in state of residence.

11. Ensure contract file has all contracts, signatures, and documents fully executed prior to closing.

12. Circulate copies of contracting documents to stakeholders as appropriate.

13. Support the WVUH Legal Services Department in all matters, including support of other counsel and staff within the Department as needed.

14. Train other personnel in contracts management database as directed.

15. Coordinate and manage the Associate General Counsel’s calendar, schedule meetings, and other legal appointments.

16. Monitor deadlines and send timely reminders for critical legal dates.

17. Prepare expense reports for the Associate General Counsel as needed.

18. Manage incoming and outgoing legal correspondence on behalf of the Associate General Counsel.
