The Director is responsible for providing leadership and support for the Office of Grants and Research in the KU School of Nursing (SON). This position is responsible for directing the administrative functions of the office and supervising the administrative team and Graduate Research Assistants. The Director oversees sponsored projects award management, collaborates in strategic planning, trains research and sponsored projects faculty and staff on sponsor and university policies and procedures, manages the office budget, tracks metrics, produces reports for stakeholders, supports the SON annual budget load process, and serves as a representative of the SON and Office of Grants and Research across the university. Additionally, the Director is responsible for the management of research grants, other sponsored projects and related administrative functions for an assigned portfolio of faculty. The Director is responsible for managing the pre-award activities including the identification of funding opportunities, development of grant proposals, internal tracking, and coordination of Just-in-Time submissions. The Director is also responsible for managing non-financial post award activities including award set-up, management of effort, payroll confirmation, and cost share commitments, coordination of the submission of deliverables, review and routing of research performance progress reports, initiation of award modifications, and award closeout. The Director collaborates with the SON Office of Business and Fiscal Affairs to monitor grant spending, approve transactions in Workday, and assist with purchasing as needed. This position works closely with faculty, departmental staff, Sponsored Programs Administration, and external sponsors to ensure compliance with sponsor requirements, technical specifications, and deadlines. Key Roles and Responsibilities
Office of Grants and Research (OGR) Leadership and Support (40%)
Directs the administrative functions of the OGR in collaboration with the Associate Dean for Research and the Administrative Director of the School of Nursing.
Supervises the OGR administrative team (i.e., Office Administrator and Grant Manager) and Graduate Research Assistants:
Cultivates an environment where team members promote the SON mission and vision and adhere to standards of integrity and ethics.
Mentors team members and develops skill sets to encourage growth.
Collaborates with the SON Office of Business and Fiscal Affairs to assess faculty needs for Graduate Research Assistants; determine available funding; hire, recruit and onboard; appoint; and initiate tuition sponsorship.
Oversees sponsored projects award management for the SON:
Facilitates frequent meetings with the SON Office of Business and Fiscal Affairs to enhance collaboration in the management of grant awards (e.g., finance, costing allocations, effort, human resources, equipment).
Apprises the Associate Dean of Research of changes and developments with faculty pre-award activity and receipt of new awards.
Manages portfolio assignments.
In collaboration with the Associate Dean for Research, conducts feasibility reviews for pre-award submissions.
In collaboration with the Associate Dean for Research, assists faculty with record storage, retention, and destruction.
Collaborates in strategic planning, and in the development and implementation of new initiatives.
Facilitates training for faculty and staff as needed, including regularly informing faculty and staff of new policies and procedures that affect the research and sponsored projects community.
Manges the OGR office budget:
Responsible for ensuring funds are available to support travel for faculty, staff, and students.
Tracks sponsored projects metrics, including proposal submissions, new awards, and other relevant information to provide to both internal and external stakeholders, as requested.
In collaboration with the SON Office of Business and Fiscal Affairs, provides information needed to support the annual budget load process.
Represents the SON and OGR on university committees, task forces, and in other meetings as appropriate.
Serves as a liaison across university departments and schools.
Pre-Award Management (25%)
Manages pre-award activities for an assigned portfolio of SON faculty.
Assists faculty in the identification of funding opportunities that align to their area of expertise/interest.
Assists faculty with proposal development:
Acts as a liaison between faculty and Sponsored Programs Administration.
Serves as a resource to SON faculty in the areas of internal submission policies and procedures, sponsor requirements, and federal regulations.
Researches, clarifies, and interprets the practices and requirements of both the sponsor and University of Kansas Medical Center Research Institute (KUMCRI), and conveys this information to SON faculty in a clear and concise manner.
Analyzes funding opportunity announcements.
Meets with faculty to review timelines and required application components.
Requests and manages required documentation from subrecipient institutions.
Initiates and manages internal documentation for special circumstances (e.g., requests for investigator status, cost share memos, etc.).
Assists faculty with budget development and composing budget justifications.
Reviews all application components against sponsor requirements and completes applications in the appropriate sponsor system.
Coordinates the internal review, approval, and submission process with Sponsored Programs Administration.
Archives all application materials and documentation in the internal OGR folders on the network drive in an easily retrievable fashion and in accordance with Departmental requirements.
Coordinates with Sponsored Programs Administration on the submission of “post-submission materials.”
Tracks information relevant to the application preparation process in the internal database including, but not limited to, deadlines, sponsors, funding opportunity announcement numbers, personnel effort, budget information, and submission dates.
Works with faculty to compile requested Just-in-Time information/documentation for sponsors, and with Sponsored Programs Administration to submit the information/documentation on behalf of faculty.
Post-Award Management (25%)
Manages post-award activities for an assigned portfolio of SON faculty.
Assist faculty with set up of new awards:
Reviews Notices of Award and communicates special conditions, restrictions, and deliverables to faculty.
Initiates and oversees the award set-up process with Sponsored Programs Administration.
Initiates agreements related to the award through Sponsored Programs Administration, Research Contracts, and/or Office of General Counsel (e.g., subaward, consultant and service agreements; data use agreements, confidential disclosure agreements, etc.).
Initiates the handoff process with SON Office of Business and Fiscal Affairs for the financial management of awards.
Manages effort and the payroll confirmation process:
Tracks sponsor approved effort and effort changes.
Initiates sponsor approval for effort changes when required, in collaboration with Sponsored Program Administration.
Coordinates payroll confirmation process for SON faculty.
Tracks committed cost share for grant awards and ensures the integrity of information provided to institutional systems.
Coordinates the submission of deliverables, including Research Performance Progress Reports:
Acts as a liaison between faculty and Sponsored Programs Administration in the preparation of research performance progress reports.
Works with SON Office of Administration and Finance to obtain financial information needed for the report.
Reviews reports and coordinates the internal review, approval, and submission process with Sponsored Programs Administration.
Assists with the initiation, preparation, and routing of award modifications to Sponsored Program Administration for changes that may require Sponsored Programs Administration or sponsor approval. (e.g., changes in personnel, scope changes, changes to, or the addition of, subawards, etc.).
Supports SON faculty and staff in project close out including coordinating final research performance progress reports, federal financial reports, and invention reporting with Sponsored Programs Administration and sponsors.
Collaborates with SON Office of Business and Fiscal Affairs for the financial monitoring of awarded projects:
Works closely with the SON Office of Business and Fiscal Affairs to monitor grant spending.
Approves transactions in Workday, ensuring spending is in line with the approved budget.
Works closely with the SON Office of Business and Fiscal Affairs to ensure requisitions are created to facilitate purchases or the payment of invoices.
As a backup to the Office of Business and Fiscal Affairs, manages assigned Business Procurement Card and ensures card is used for allowable purchases
In collaboration with Office of Business and Fiscal Affairs, initiates approval for rebudgeting, no cost extensions, and other financial changes that may require Sponsored Programs Administration or sponsor approval.
Process Improvement (5%)
Works closely with the Associate Dean for Research and entire OGR team to streamline processes and increase efficiency in operations.
Presents ideas, recommends changes, and leads implementation.
Works closely with the Grant Manager and Office Administrator to improve award management processes and procedures.
Attends training for university systems, Sponsored Programs Administration trainings, and other trainings that benefit the employee, position, or department.
Participates in information and planning meetings with faculty, Grant Manager, SON Office of Business and Fiscal Affairs, and Associate Dean of Research on key issues related to research and sponsored programs.
Other Duties as Assigned (5%)
Performs other financial and administrative functions as assigned by the Associate Dean of Research.
Required Qualifications
Education:
Master’s Degree in an appropriate discipline such as research administration, business, accounting, social science, health services or administration
Work Experience:
At least three (3) years of experience which demonstrates success in organizational and interpersonal communication skills, high degree of attention to detail, and multi-tasking.
At least three (3) years of experience in research or sponsored projects administration with working knowledge of the methods, procedures and techniques used in grant preparation, coordination, and implementation.
At least two (2) years supervisory experience in an office environment, with familiarity of HR functions.
Progressive responsibility in accounting, financial management of grants, budgeting, financial recordkeeping or similar activity in a large corporation or university setting.
Education and/or experience in working with budget development or accounting. Understanding of accounting methods, mathematical skills, and problem solving.
Demonstrated understanding and proficiency with Microsoft Suite, including MS Excel for budget development and monitoring.
Proven ability to handle multiple tasks which are sensitive to deadlines without compromise to quality of product.
Proven track record of thoroughness and attention to detail.
Ability to work in a self-directed manner in a team-oriented environment.
Ability to work with faculty, staff, external entities, and other internal departments in a professional manner with refined verbal and written communication skills.
Preferred Qualifications
Work Experience:
Certification in Research Administration.
Experience with Workday and QlikView reporting.
Experience with eRA Commons, SciENcv, and Huron research suite.
Experience with sponsored project proposals and financial management.
Experience analyzing and interpreting complex grant proposal requirements and making appropriate recommendations.
Knowledge of Uniform Guidance and basic knowledge of federal guidelines.
Familiarity with funding agencies that support nursing/biomedical research.
Experience in an academic setting.

SalaryCompensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
