Summary

Clinic Operations Job Summary:

Responsible for managing the operation of the clinic to include, but not limited to, front desk reception and scheduling, day-to-day activities of the clinical staff, and overall management responsibilities. Coordinates all office management and personnel activities in order to ensure efficient patient flow and appropriate staffing.  Responsible for meeting the established physician office standards of nursing practice, managing all assigned personnel, supplies, and equipment in the clinic and for promoting teamwork with providers and personnel within other departments. Works effectively with Providers, Administration and Physician Billing Department to ensure efficient office operations.

Quality and Safety:

Responsible for management of staff to include but not limited to interviewing, hiring, coordinating new employee training and/or employee retraining/remediation, performance appraisals, rewarding and disciplining employees. Responsible for the timely completion and submission of all staff orientation packets and annual date-of-hire mandatories. Assess competency of non-clinical and clinical staff. Ensure all office and patient care equipment is maintained in proper operating condition. Collaborate with fellow leaders to formalize and standardize applicable processes. Complete employee evaluations as indicated per CFVHS policy. Review and monitor the Performance and Quality Metrics to provide a continuous improvement plan. Engages staff, including providers, on the improvement processes based on these metric outcomes. Maintain compliance with regulatory bodies including but not limited to The Joint Commission, Department of Health and Human Services and its divisions, and Centers for Medicare and Medicaid. Round weekly with all staff and hosts routine staff meetings at each assigned department. Conduct periodic monitoring of Electronic Health Record (EHR) to ensure timeliness follow-up and completion of, InBasket messages, prior authorizations, outstanding referrals, lab results and provider notes. Attend leadership and other related meetings, both during and outside of normal office hours. Clinical Responsibilities:

Participate in Quality Assurance and Peer Review. Able to evaluate the effectiveness of nursing care given to patients under his/her supervision.

Administer and record treatments, medications, and therapies as prescribed by the provider.

Assesses, plans, organizes, implements, and evaluates patient care.

Provides a safe environment for patient care adhering to Infection Prevention and Patient Safety principles and policies.

Maintains an accurate and relevant record of patient care/contact per visit and per phone.

Recognizes life-threatening situations and responds appropriately.

Demonstrates expertise in the execution of the nursing/clinical staff by providing support and evaluating application of the nursing process.

Performs audits to include but not limited to: Environment of Care, Waived Testing, and chart review to evaluate readiness and compliance of clinic and staff to regulatory organizations. Reports results of said audits to CFV Medical Group Leaders, as needed, and acts to make any corrections necessary to obtain/maintain compliance.

Satisfaction:

Creates and atmosphere of open and reasonable communication among staff, support services, medical staff, patients, and families. Responsible for obtaining/maintaining the training and competencies needed to function as a backup for staffing needs, both clinical and non-clinical, when assistance is needed. Ensures efficient patient scheduling and process improvements to meet patient access needs. Engages staff in process improvements to facilitate a team environment. Coordinates the handling of patient complaints and resolving/addressing these complaints in a timely manner. Provides open communication to allow employees the opportunity to voice concerns without fear of reprisal or ridicule. Is proactive in reviewing and addressing employee complaints in a timely manner. Provides ongoing feedback to staff, evaluating their performance in order to facilitate an effective outcome.

Financial Stewardship:

Maintains thorough knowledge of current policies and guidelines related to the following: CPT and ICD coding, current billing issues, medical terminology and compliance with payer guidelines.  Consistently works towards optimizing volumes and developing strategies for preventing/reconciling billing errors. Collaborates with billing department to improve overall revenue collection. Reviews and monitors cash flow within the clinic(s) to ensure collections are obtained and appropriate. Collaborates with their leadership team in creation of the capital and operating budgets of assigned clinics. Responsible for monitoring and functioning within the capital and operating budgets of assigned clinics. Responsible for time keeping of all office personnel or delegates to appropriate supervisory staff. Monitors and prevents incidental overtime as applicable. Consults with physicians on hospital charges and ensures in-patient charges are posted timely and accurately. Monitors/works the assigned work queues to reduce the amount of outstanding revenue. Monitors daily/weekly/monthly financial reports to identify areas of success and/or improvements needed. Responsible for monitoring staffing levels to ensure adequate staffing to provider ratios. Responsible for floating staff to other clinics as needed to offset staffing inadequacies.  Prepares for and facilitates monthly and quarterly financial meetings. Prepares for, and hosts monthly financial meetings with all staff and providers and quarterly financial meetings with providers and administration.

Quality Job Summary:

Coordinates programs, manages services, and coordinates the quality and patient safety care of patients within the Medical Group at Cape Fear Valley Medical Center. The quality clinical nurse manager assists in the integration of services provided by physicians, Cape Fear Valley Health System, community organizations, and other healthcare providers to insure an optimum experience of care from the patient’s perspective. In addition, the clinical manager: initiates and participates in patient, caregiver, and staff education; actively markets the various programs; host routine quality subcommittee meetings and participates in the Ambulatory Quality and Patient Safety Steering Committee. The quality clinical nurse manager must be able to motivate and empower others to achieve excellence in quality and patient safety. Additional responsibilities include Assists Medical Group Leadership Teams in developing, implementing, and monitoring systems to steer the Medical Group quality initiatives. Monitors and assists with data collection, analysis and database management for Medical Group projects and quality programs.  Participates in quality monitoring through patient record review.  Evaluates metrics and presents updates to leadership.  Recommends changes and modifications of systems to ensure timeliness, accuracy, and efficiency of quality metric tracking and improvement.  Assists with the development of protocols, standards, and educational materials and ensures that they are current and meet the accepted national standards of care. In collaboration with the clinical administration team for the Medical Group, plans and implements education tools, presentations, and screenings to improve care gaps within the community. Assesses quality/safety and evidence-based care learning needs of clinic staff and develops/coordinates educational activities to meet identified learning needs. Monitors and responds to patient grievances/complaints and SIRS. Collaborates with operational and clinical leaders for a timely response and for identified areas of concern. Oversees medical group policies and procedures. Schedules routine meetings with operational and clinical leaders to review and update policies and procedures. Monitors One Recall for medications, equipment and supplies that are recalled. Collaborates with operational and clinical leaders to ensure all recalled items are removed from the clinics. Ensures Regulatory Agency Standards are met or exceeded.

The following qualifications, or equivalent, are the minimum requirements necessary to perform the essential function of this job.

Education and/or Experience: Current North Carolina licensure for RN. Bachelor’s degree in nursing required. Basic Life Support (BLS) required from the American Heart Association.

Physical Demands: Must be able to see, hear, read, and have manual ability to use office and clinical equipment. Position involves much standing, walking, bending, and lifting. Position may involve skin, eye, mucous membrane, or parenteral contact with blood or other potentially infectious material.     and typewriter.  Specific vision abilities required by this job include close vision.
